CURRENT OPENING

Associate, Human Resource (2024/HR/02/0030)

The IILM is actively searching for a highly skilled individual to fill the role of Human Resource within the Human Resource unit. This position will assist the Senior Human Resource Officer for the HR functions including talent acquisition, employee engagement, and training & development. This role will also have extended backup responsibilities for certain administrative tasks.

Duties and Responsibilities

Talent Acquisition

  • Assist in talent acquisition/hiring process, including sourcing, coordinating job posting, reviewing resumes, performing reference checks, medical-check up arrangement, and pre-onboarding.
  • Sourcing and screening candidates through various channels, especially via Linked-in, Job portals, and Universities (full-time and internships).
  • Ensure smooth pre-onboarding process to newly hired employees.

Training and Development

  • Assists to source training module according to training needs, registration with the provider, update the training database, make payment vouchers to the training provider, request for training evaluation and assessment post training.
  • Ensure compliance with Training Guidelines and proper deployment of annual training budget.

Expatriate Management

  • Administers the preparation of documents and forms for visa processing with MOFA and immigration.
  • E-protocol system submission and physical submission at Protocol Department, Wisma Putra and the Malaysian Immigration Department.

Probationary and Contract Renewal Process

  • Work closely with the Senior Human Resource Officer to track staff probationary period and contract renewal. Send notifications for evaluation and appraisal to staff and line managers.
  • Follow up on the deadline and prepare the contract renewal letter upon approval.

Annual Leave and Medical Claims

  • Calculation of pro-rata entitlement for staff for annual leave and medical claims.
  • Observe the leave in the system and ensure accuracy with the leave application and leave balance. Monitor the planned leave record.
  • Assist in reviewing claims and staff entitlement. Do calls to the related clinic, and shop to verify receipts.

Staff Record

  • Providing ad-hoc assistance (memos, presentations) as and when required by Management.
  • Participates in executive, management, and company staff meetings and attends other meetings and seminars.

Requirements and Qualifications

  • Degree in Business Administration, Human Resources Management or related fields.
  • 2 to 3 years of experience in Human Resource.
  • Excellent in Microsoft applications.
  • Excellent written and verbal communication skills in English and Bahasa Malaysia.
  • Strong analytical and interpersonal skills.
  • Strong organisational skills, self-starter with ability to work under pressure.
  • Experience in managing services of expatriate staff is essential.
  • Familiar with employment regulations and laws.
